A leading travel services company seeks a Leisure Travel Inbound Coordinator to plan, develop, and manage bus tours for inbound travelers. This role involves handling tour operations, optimizing efficiency, and ensuring exceptional customer experiences.
ESSENTIAL JOB FUNCTIONS
Tour Planning & Operations
Develops and enhances bus tour itineraries and product offerings to meet FIT (Free Independent Traveler) demand.
Coordinates tour logistics, including buses, guides, admission tickets, Amtrak and air tickets, show reservations, and restaurant arrangements.
Ensures smooth tour operations while maximizing efficiency and profitability.
Troubleshoots daily issues such as weather-related delays, cancellations, and traffic disruptions.
Customer & Sales Support
Responds to inquiries from sales teams and travel agencies.
Prepares cost estimates for special requests and custom arrangements.
Handles customer feedback, including complaints and suggestions, to improve service quality.
Sets up promotional campaigns for online customers and travel agencies.
Vendor & Partner Management
Negotiates pricing, itineraries, and service terms with operators.
Maintains strong communication with operators, sales teams, and travel agencies.
Uses sound judgment in daily interactions with vendors and partners, seeking guidance from supervisors or experienced colleagues as needed.
Financial & Administrative Responsibilities
Conducts monthly tour transaction closings and reports costs and profitability.
Maintains and develops the customer base through quality service and timely collaboration with the sales team.
Understands the broader organizational impact of the role and contributes to operational improvements.
OTHER RESPONSIBILITIES
Continuously seeks ways to improve efficiency and cost-effectiveness.
Assists with special projects and other duties as assigned.
Upholds high ethical standards and ensures compliance with company policies.
Reports irregular issues to supervisors for resolution.
MINIMUM QUALIFICATIONS
A few years of experience in the travel industry or equivalent relevant skills.
Strong operational knowledge and the ability to work independently with minimal supervision.
Fluent in spoken and written Japanese and English.
