Overview

A global travel company seeks a bilingual Leisure FIT (Foreign Independent Tour) Coordinator/Planner to support product development, itinerary planning, and ground arrangements for inbound individual travelers.
You will coordinate hotels, transportation, attractions, and customized arrangements to ensure smooth operations and exceptional customer experiences.
This role is ideal for someone who is detail-oriented, proactive, and thrives in a fast-paced environment with cross-team collaboration.

 

Responsibilities
Tour Planning & Operations

Develop and enhance bus tour itineraries and product offerings to meet FIT (Free Independent Traveler) needs.

Coordinate logistics including buses, guides, admission tickets, Amtrak and air tickets, show reservations, and restaurant arrangements.

Ensure smooth tour operations while maximizing efficiency and profitability.

Troubleshoot daily issues such as weather-related delays, cancellations, and traffic disruptions.

 

Customer & Sales Support

Respond to inquiries from sales teams and travel agencies.

Prepare cost estimates for special requests and customized arrangements.

Handle customer feedback—including complaints and suggestions—to improve service quality.

Set up promotional campaigns for online customers and travel agencies.

 

Vendor & Partner Management

Negotiate pricing, itineraries, and service terms with operators.

Maintain strong communication with operators, sales teams, and travel agencies.

Exercise sound judgment when interacting with vendors and partners, seeking guidance from supervisors or senior staff as needed.

 

Financial & Administrative Responsibilities

Conduct monthly tour transaction closings and report on costs and profitability.

Maintain and develop the customer base through quality service and timely collaboration with the sales team.

Understand the broader organizational impact of the role and contribute to ongoing operational improvements.

 

Qualifications

Japanese/English bilingual proficiency (spoken and written).

Experience in travel operations, FIT arrangements, hospitality, or related fields.

Strong organizational skills and attention to detail.

Ability to manage multiple tasks under time-sensitive conditions.

Proficiency with MS Office and standard business software.

Comfortable working West Coast business hours.

Able to work hybrid from the LA office or NY office (working PT hours).

 

Other / Miscellaneous

Work style: Hybrid (office 1–2+ days per week, depending on business needs).

Occasional weekend or shift-based work may be required depending on travel schedules.
